Filing Procedures In Business (Second Edition) is a short film produced by Coronet Instructional Films in 1950, with assistance from David G. Goodman, Chairman of Wisconsin State University’s Department of Business Education, that covers the basics of filing procedures in business. Whether using a state-of-the-art electronic data processing system (00:35) or a traditional record keeping system, the procedures for filing records are the same. The three main elements of record keeping are preparing records, filing records, and retrieving records. Using a traditional filing room as an example, the film walks viewers through the filing procedures, following a records request being fulfilled. The film covers aspects of filing including alphabetical progressions, ordering files by date, and the use of “out cards” or “out folders” (04:42). Preparing records by coding and annotating documents, creating cross-reference sheets, or duplicating records using office equipment such as a Thermo-Fax duplicator (07:12) enables filing women to quickly and accurately file records. In some offices, a sorter (07:50) is used to prepare records for quick filing. The film discusses transferring records based on usage or date, then covers the different filing methods, including numeric, subject, and geographical in addition to alphabetical filing. Various filing storage is used, ranging from open-shelf filing at hospitals to microfilm files and printers (12:34) favored by architecture firms to the elevator files (12:50) used by large insurance companies and credit agencies. However, the principles and procedures of filing remain the same.
